Finding duplicates created by you
Duplicates are created very easily when users do not search for contacts - so how do we clear those out?
The quickest and easiest way to do this is to use the My Duplicates icon which is found on the left hand control panel.
Clicking on this icon will search through all the contacts that you have created and compare them to all the contacts on the entire database - so that you canwork through any duplicates that you may have created and merge them. Contacts you have created are shown as yellow for easy identification.
To merge the duplicates - check the check boxes next to the two duplicate contacts and then click on the icon that has four green arrows pointing inwards. This can be found at the top of the screen. This will show you the two contacts side by side - and compares the details for you. Wherever there is a difference - there will be a button between the two that says - < Replace, the details will then be moved from the right hand contact to the left. Once you have finished working through the contact - you can click on the save button. The contact on the left is saved, the duplicate deleted, and you are taken back to the list to work through the next contact.
To help keep the database clean - each user should check their own duplicates at least every two weeks.
