Email unsubscribe
Automatic unsubscribe:
Every email sent from the CRM includes a link at the bottom for the recipient to unsubscribe from emails sent from your database. Upon clicking the link, they are informed who sent the email and are given unsubscribe options:
Once the recipient has ticked one of the options and then clicked on "Save", they will be automatically unsubscribed and an email alert will be sent to one of your CRM users to inform them that the contact has unsubscribed - but there is no need to do anything further.
Manual unsubscribe:
Sometimes a contact will request to be unsubscribed without using the unsubscribe link in the email - eg by reply email or telephonically. In these circumstances you will need to manually unsubscribe them:
1. Click on the "Settings" link top right of your screen.
2. Click on "Unsubscribe Email"
3. Click on "New Unsubscribe"
4. Type in the email address which needs to be unsubscribed. Then click on the "Restriction" dropdown to select which email communications they should be unsubscribed from. (To unsubscribe the email address from ALL emails sent from your CRM select "All for business".)
5. If you have selected "Specific Group, Event, Organisation or Employee" then a new field called "Subset" will appear. To select the specific group etc, click on the blue "Change" link and a search dialogue box will appear. Type in the name of the group etc you are looking for and then click on the "Search" button. After the search results appear, click on the "Add" button next the appropriate group.
6. In the notes field, type in the reason why you have unsubcribed this person and then finally click on the "Save" button.
PLEASE NOTE:
In all cases it is the email address that is unsubscribed - not the contact name. This means if you add a new email address for a contact who has said they wish to be unsubscribed, then you will be able to email them (provided the new email address isn't also unsubscribed). It also means that even if you delete a contact with the unsubscribed email address and then re-add them at a later stage with the same email address, the unsubscribe restriction will remain.
